The intended audience for this article is Agents.
Sending the entire form allows the insured to see every question on the form. To Assign & Share an entire form, add the form to your customer's risk profile.
Assign & Share from the Forms Page
If the form has already been added, select Forms
within the risk profile navigation and click the Actions
button on the far right of the form you wish to share. From the dropdown, select Send Form
.
Assign & Share from the Response Page
After adding a form to a risk profile from Tools > Forms Library
or by clicking on the Add Form +
button from the Forms page, select Share With Someone
from the confirmation prompt.
If you've opted to fill out the form prior to sharing, Select Send or Sign
> Send Entire Form
action on the left blue panel to share at any time.
Assigning the Form
After choosing to share the form from either of the three methods above, a modal will open displaying all existing collaborators (customer insureds and agent team members). You can either send to existing collaborators or select Add New Collaborator + to add a new customer insured.
Select whether you want to invite a customer insured or an agent team member. In most cases you probably want to select Customer.
Note: only agent admins will have the ability to invite new team members. If you're an agent member, you'll go directly to the customer setup.
After selecting customer collaborator, enter your customer collaborator information, then Add Customer. First Name, Last Name, and Email are required.
Note: your customer collaborator won't be notified until you're ready to notify them.
After you added your new collaborator, you'll be sent back to the user select screen. Your new collaborator will already be selected. Select Next to continue.
On the next screen, you can choose whether you want to notify your collaborator of the assigned questions right now and also include recurring reminders.
Alternatively, if you want to build a task list that consists of multiple forms, questions, and signatures, you can deselect the Notify collaborator option. If the Notify option is deselected, the questions will be assigned, but your customer won't be notified.
Note: if you need to copy a link to send to your customer in an email, you can do that from the Forms page or the Collaborators page.
After you assign the questions to your collaborator, their avatar will display on the Forms and Forms Response pages. If you opted to notify your collaborator, a βοΈ icon will display next to their avatar.
