Auto prepare signature: collect form answers and signatures in a single flow

Let your customer fill out and sign a form at the same time with auto prepare signature

Use auto prepare signature to collect form responses and signatures in a single flow. This workflow lets you assign signature fields upfront so the signer can finish everything in one flow.

This is different from the manual signature workflow, where you prepare signatures after the form is completed.

Before you start

Make sure:

  • Auto Prepare Signature is enabled (Team → Feature Settings)

  • You’re using a form with the Auto prepare label, meaning signature fields are ready to assign

  • For ACORD schedule overflow forms, signature fields are only supported on parent (top-level) forms. Questions and signatures on child ACORD forms can't be assigned.

Not all forms support this yet. Mapping is still in progress, with priority on commonly used forms.

How to send a form that can be filled and signed

1. Assign collaborators and signature fields

  • Open a form and assign collaborators as usual

  • Select Send or Sign, then Auto Prepare Signature

  • Assign each signature field to a specific person

  • Each signature field can only be assigned to one person

2. Mark the form as done

Each collaborator must mark the form as Done.

  • The last person to mark the form as done will complete the form and sign in the same step

  • The form is not prepared for signature until everyone is done

Once all assignees are done:

  • The form is finalized

  • Notifications are sent

  • AMS360 and ImageRight integrations are triggered

  • The signature step opens automatically

3. Assignee fills out and signs

The assignee will:

  • Open their task

  • Complete the form

  • Click I’m Done

Immediately after:

  • The signature step opens

  • They can sign, date, and submit

No separate signature request is needed.

When to use auto prepare vs manual signature

Use Auto Prepare Signature when:

  • You want one continuous fill-and-sign experience

  • The form already has mapped signature fields

Use Manual Prepare Signature when:

  • You need to upload additional files

  • You need to manually place signature fields

  • Assign signature fields directly from the form response page

  • Collaborators fill and sign in one continuous flow

  • No manual field drawing required

  • Signature workflow triggers automatically after form completion
